This privacy policy governs the use of your personal data by the IPMorama project – this project has received funding from the European Union’s Horizon Europe Programme under grant agreement No 101135348; communicate with us via e-mail, telephone, the contact form available on the website and our social media channels; LinkedIn, Twitter, Facebook, YouTube, Instagram (hereafter referred to as “Social Media Channels”); or interact with us at fairs and events.

Who is responsible for the processing of your personal data?

1.1 Your personal data is processed by Foodscale Hub, the dissemination and communication partner of the IPMorama project. You can contact us via email at social@ipmorama.eu. Foodscale Hub’s address is Dositeja Obradovića 8, Novi Sad, Serbia.

1.2 Only Foodscale Hub staff working on the IPMorama project are allowed to process your personal information. Other project partners will only be able to access specific data if the purpose is clearly specified, and consent has been obtained from you in advance. For surveys conducted by other IPMorama partners, relevant consent forms (if applicable) will be provided by the IPMorama partners running the survey.

How do we collect data and what categories of personal data do we process?

We collect and process your data when you:

  1. a) Visit our website
    b) Subscribe to receive our news (e.g., by completing a Mailchimp form)
    c) Attend or participate in live events

2.1 When you fill out the contact form on our Website or contact us via email, telephone, or Social Media Channels, we may collect some or all of the following:

3.1 Foodscale Hub processes your personal data to provide you with the information, products, or services you request via the Website, email, telephone, Social Media Channels, or events.

3.2 Foodscale Hub processes your personal data to communicate with you following contact at trade fairs/events or through our Website, email, telephone, or Social Media Channels.

3.3 Foodscale Hub processes your personal data to perform statistical analyses to improve our Website, communication, and project dissemination or to develop new engagement approaches.

3.4 Foodscale Hub processes your personal data to comply with legal obligations or requests from competent authorities. Your personal data may also be transferred to law enforcement or judicial authorities if required by law or in cases where illegal activity is suspected.

3.5 Foodscale Hub may process your personal data to protect the legitimate interests of the IPMorama project, its partners, or third parties, particularly in cases of:

4.1 For processing your personal data for the purpose outlined in clause 3.1, we ask for your consent.

4.2 Although Foodscale Hub is registered in Serbia (a non-EU country), Serbian data protection law is aligned with the GDPR and relevant EU data protection regulations. All processing adheres to Horizon Europe standards and applicable legislation.

4.3 The processing of your personal data for the purposes outlined in clauses 3.2, 3.3, and 3.6 is necessary for the legitimate interests of the IPMorama project, which include:

  • Responding to your information requests.

  • Facilitating communication with IPMorama partners.

  • Enhancing our Website, Social Media Channels, and project outreach.

  • Ensuring security and compliance with legal requirements.

  • Promoting IPMorama’s activities and results.

4.4 Consent forms the basis for all processing related to newsletters, promotions, and outreach communications, as described in clause 3.1.

What are our quality assurances?

5.1 Foodscale Hub processes only the personal data necessary to achieve the purposes outlined above.

5.2 Your data is securely stored on a password-protected server accessible only to authorized personnel. Personal data will be retained for up to 60 months after project completion unless legal or regulatory obligations require otherwise.

5.3 Foodscale Hub employs appropriate technical and organizational measures to protect personal data against unauthorized access, loss, or destruction. Access is restricted on a need-to-know basis and is subject to strict confidentiality obligations.

What are your rights?

6.1 You have the right to request access to your personal data processed by Foodscale Hub. An administrative fee may apply if requests are excessive or repetitive.

6.2 You have the right to request correction of inaccurate data, with proof of the inaccuracy provided.

6.3 You can withdraw your consent for processing your data as described in clause 4.4 at any time.

6.4 You can request deletion of your data if it is no longer required for the purposes outlined in this policy, or if you withdraw consent. However, this request will be evaluated against any overriding legal or project-related obligations.

6.5 You can object to processing based on your specific circumstances, or if the processing relates to direct marketing.

6.6 You have the right to receive your personal data in a structured, commonly used, and machine-readable format.

6.7 To exercise any of these rights, please contact us at social@ipmorama.eu with sufficient details, proof of identity, and your signature. We will respond within 30 days of receiving a valid request.

Complaints

If you believe that the processing of personal data has been carried out contrary to the provisions of the law, you have the right to file a complaint to the competent data protection authority – the Commissioner. The state administration body responsible for the protection of personal data in the Republic of Serbia is the Commissioner for Information of Public Importance and Personal Data Protection, Bulevar kralja Aleksandra 15, Belgrade.
